Crusaders AC photography and video policy
Welcome to the Crusaders AC photography and video policy. Taking and sharing photos and videos are a great way for the club to interact with Members, document successes and celebrate good news stories.
Clubs need and welcome positive publicity. Photographs add colour, life and interest to photographs of the Clubs activities and initiatives. Making use of photographs in club publicity materials can increase Member’s motivation and staff morale and help parents and the local community identify and celebrate the club’s achievements.
Crusaders AC has lots of followers across social media on Twitter, Facebook and Instagram, and the Club social media community is growing by the minute. With that in mind, it is important to remember your potential audience when taking and sharing photos. Once a photo or video has been shared, even within a private group, it is out there in the public domain, and not something you can ever fully delete or re-call.
Unfortunately, there are people out there who will use photos and videos for negative purposes; bullying, grooming, locating, and trolling can all start with a misjudged photo.
With that in mind, the Club will implement the following guidelines for the club, and we ask that you also stick to the following:
1. No Names
Ideally, no full names would be attached to images of individuals. If the story/ communication
would benefit from names being included, only ever use first names. As with all things, please let common sense prevail: if you have permission to attach someone’s name to a photo/ someone has been pleading with you to use their photo then of course it’s OK.
2. No ID:
Avoid the inclusion of detailed information that could make individuals easy to trace, e.g. no
pictures of children in a specific school uniform.
3. Appropriate clothing:
Only use images of people in suitable dress to reduce the risk of inappropriate use, e.g. no
pictures of people in swimwear.
4. Think positive:
Images that are published or shared should positively reflect people’s involvement in
The club, e.g. smiling and laughing members, not anxious or unhappy ones.
5. Be inclusive:
Wherever possible, photographs should include groups, not individuals, and should
represent the broad range of people participating, e.g. boys and girls, people with disabilities,
members of all communities. Again, let common sense prevail: if the purpose of a photo is to
illustrate a story about an individual’s achievement then of course if is ok to be of just that
individual.
6. Delete if asked:
If an individual, a parent or a carer asks for any photo to be removed or deleted, it should be
done without question at the earliest opportunity.

7. Permission:
Due to Club training and events taking place in public settings, it is not possible for individuals to opt in or out of being photographed/ filmed at an event, race, session or social.
Crusaders Athletic Club adopts the following guidelines when using the photographs of children in Club publicity materials, including use of images / names on the club website, newsletters, and displays:
A) The Club will not identify children by name in photographs for publication on the club website.
B) Only photographs of children appropriately dressed are used. Care is taken when using photographs of children participating in sports activities. All children photographed must be appropriately dressed for the sport in which they are participating. Where a participant removes any item(s) of clothing photos must not be taken.
C) We will not use the image of a child who is known to be the subject of a court order if this has been requested of the club and we have been made aware of it.
D) On some occasions, e.g. a child winning a competition or team playing in a tournament, or a photograph the local / national newspaper may wish to publish a photograph with the accompanying children’s names.
E) Crusaders staff must communicate with the local newspaper/press/photographer to point out any children who do not have parental permission to appear in such photos.
8. volunteer photographers:
At times, Club events will have a volunteer photographer in attendance. This is someone
who is taking photographs/ videos for inclusion in Club communication and social
media channels.
